AI receptionist vs human receptionist
We sell one of these, so read this with appropriate suspicion. We have still tried to write the comparison we would want to read.
What a human receptionist does better
Start here, because most comparisons written by AI companies skip it.
- Reading a room. A good receptionist knows when a regular walks in upset, and adjusts. No phone agent does this.
- Retail. Selling product at the counter is a genuine revenue line that an AI receptionist cannot touch.
- Handling a complaint. An unhappy colour client needs a person. Any system that tries to handle this automatically will make it worse.
- Everything that is not the phone. Greeting, coffee, laundry, restocking, tidying, managing the flow of the floor.
- Judgement. Squeezing in a loyal client who is desperate, knowing which stylist can absorb an extra head, deciding when to waive a fee.
If you are choosing between hiring a receptionist and buying software, and you can afford the receptionist, the receptionist is usually the better business. They do more.
What an AI receptionist does better
- Never being busy. Three calls at once are all answered. A person can take one.
- Hours. Evenings, Sundays, public holidays and the Christmas break, at no extra cost.
- Consistency. Your deposit policy explained identically to every client, including the ones your team would rather not have that conversation with.
- Never forgetting. Every call summarised in writing rather than remembered, or not.
- Cost. A full-time NZ salon receptionist costs roughly $55,000 a year before holiday pay, KiwiSaver and cover for sick days.
The comparison most salons actually face
Very few salons are genuinely choosing between a receptionist and software. The real choice is usually between software and nothing, because a receptionist was never affordable at your size.
In that framing the question changes. It is not "is this as good as a person", because there is no person. It is "is this better than the phone ringing out", which is a much lower bar and one the technology clears comfortably.
The combination most larger salons land on
Salons with a front desk usually end up running both. The receptionist handles the floor, the retail and the walk-ins. The AI covers the overflow: the calls that come in while she is taking payment, the ones after close, and her days off.
This is the arrangement we see work best, and it is worth saying plainly because it means we are not asking anyone to fire their receptionist. We are asking to cover the hours she cannot.
How to decide
Count your missed calls first, using the method in this article. If the number is small, neither option is urgent. If it is large and concentrated after hours, software wins on cost alone. If it is large during trading hours and you can afford the salary, hire the person.
