The AI receptionist for beauty and skin clinics

Clinic enquiries are longer, more personal and more regulated than a haircut booking. They also convert into far more valuable courses of treatment.

The problem

Why clinic phone calls are harder

Treatment enquiries need a consultation first

Most clinic work cannot responsibly be booked straight off a phone call. But the enquiry still has to be captured properly, or it goes to whoever answers next.

Patch tests and contraindications have rules

Tinting, some peels and laser work carry timing requirements. Getting that wrong on the phone creates a wasted appointment or a safety issue.

Clients disclose sensitive things

Skin conditions, medications, pregnancy. That information needs handling carefully, and it should never be left on an open voicemail.

The fix

Configured around clinic protocol

01

Books consultations, not treatments

For anything requiring assessment, it books the consult and explains why, rather than committing you to a treatment you have not assessed.

02

Applies your patch-test timing

If a treatment needs a patch test a set number of hours ahead, it books accordingly or flags it, instead of scheduling something you then have to cancel.

03

Explains courses and packages clearly

Multi-session pricing gets explained the way you would explain it, without a therapist stopping mid-treatment to take the call.

04

Escalates anything clinical

Questions about suitability, medications or reactions go to a human every time. It does not offer clinical opinions.

05

Handles sensitive detail properly

Information is captured into your system rather than left in a voicemail box, and callers are told when a call is recorded.

In practice

A real call, handled

A shortened version of a call this agent handles every day.

I want to book a chemical peel.
Lovely. Have you had a peel with us before, or would this be your first?
First time.
In that case we start with a skin consultation so the therapist can assess your skin and recommend the right strength. It takes about thirty minutes. I have Tuesday at 10am or Friday at 2pm.
Tuesday. Is it okay if I am on Roaccutane?
That is an important question and one for the therapist rather than me. I will note it on your booking so she can talk it through with you properly.
FAQ

Questions we get asked

Will it give advice about treatments?
No, and that is deliberate. Anything about suitability, medication or skin reactions is captured and passed to a qualified therapist. It books and informs, it does not advise.
Can it handle patch test requirements?
Yes. Where a treatment requires a patch test with set timing, that rule is configured at setup and applied when booking.
Does it work for courses of treatment?
It explains your course pricing and structure and captures the enquiry. Booking a full course is usually confirmed by your team after consultation.
Is client health information handled safely?
Information is collected into your system, encrypted in transit and at rest, and callers are told when a call is recorded. See our security page for detail.
