How to stop losing after-hours salon bookings

Most salon booking decisions are made outside opening hours. Here are the options for capturing them, including the ones that cost nothing.

Why after hours matters more than it looks

People decide to sort their hair out when they are sitting down, not when they are at work. That means evenings, Sunday afternoons, and the week before an event. Your salon is dark for most of those hours.

The problem is that these enquiries leave no trace. A missed call during trading hours might generate a voicemail, or the client might mention it when they next come in. An 8:30pm enquiry that rings out simply goes to whoever answers next, and you never learn it happened.

Option one: online booking (free, partial)

If you run Timely, Fresha, Kitomba or similar and you have not enabled online booking, do that first. It costs nothing and captures the segment of clients who prefer to book without speaking to anyone.

The limit is that online booking only captures people who already know what they want. It does not answer "how much would balayage be on hair like mine", which is the question that precedes most new colour bookings.

Option two: a better voicemail (free, small gain)

Most salon voicemail messages are useless. "You've reached us, leave a message" gives the caller no reason to stay.

A better script does three things: states when you will call back, points to online booking, and gives one reason to leave a message rather than ring elsewhere.

"You've reached [salon]. We're with clients right now. You can book online any time at [website], or leave your name and number and we'll call you back before [time] tomorrow."

Expect a modest improvement. Most people still will not leave a message, because most people do not like leaving messages.

Option three: divert to a mobile (free, unsustainable)

Plenty of owners divert the salon phone to their personal mobile after close. It works, and it costs nothing, and it destroys your evenings. We mention it because it is common, not because we recommend it.

Option four: a call answering service (paid)

Traditional human answering services take a message and pass it on. They are better than voicemail because a person answers, and worse than they sound because the operator knows nothing about your salon. They cannot quote a price, check availability or book anything.

Option five: an AI receptionist (paid)

This is what we build, so weigh it accordingly. The relevant difference from an answering service is that it holds your actual service menu, prices and availability, so it can complete the booking rather than take a message about one.

The honest limitation is that it is only as good as what it was told about your salon, and it should hand over to a human for anything complicated.

What we would do in your position

  1. Turn on online booking today. It is free and it captures the easy segment.
  2. Rewrite your voicemail this week using the script above.
  3. Pull your phone records and count what is actually being missed after hours.
  4. Only then decide whether the remaining gap justifies paying for anything.

Steps one and two cost nothing and will reduce the problem. If the gap after that is still costing you real bookings, then it is worth a conversation.
